UPE recently met with the Courts on May 21, 2025, to discuss the rollout of new scanning procedures for employees in the Family and Criminal divisions. These new procedures are being introduced to support the court’s transition to a new electronic case management system called eCourt, which is scheduled to go live in 2026.
In the Family Law Division, employees will begin scanning legacy paper case files, starting with the year 2024 and moving backward. These procedures include tasks such as uploading scanned documents into the eCourt system. The process includes scanning documents into their proper digital folders, labeling each one by document type (such as Minute Orders or Motions), checking the quality of each scan, saving the documents, and marking the file as scanned.
In the Criminal Division, employees will begin scanning legacy files from 2025, as well as some from 2024. The documents must first be separated into specific categories, such as Motions, Sentencing, Warrants, and others. Each document is scanned using a scanning application, where staff must enter the document’s date, select the correct document type from a dropdown menu, and confirm that the scan is clear and complete. Files are then reassembled and stamped to indicate they have been scanned. During this meeting, UPE proposed, and it was agreed by the courts, for a six-month “no harm” period for employees. This means that employees will not face disciplinary action for errors directly related to their reasonable and good-faith efforts to learn and follow the new scanning procedures during the initial six-month period after the scanning procedures begin.
